Student Employment

The University of Findlay employs over 900 students in a variety of areas and roles across campus. It is designed to provide you with part-time employment experience, supplemental income, and educational benefits outside of the classroom. The Office of Student Employment communicates expectations for student employee growth as well as encourages supervisors to have an active role in the development of their student employee(s).

Federal Work-Study

The Federal Work-Study (FWS) Program allows for undergraduate and graduate students, who establish a financial need, to meet the costs associated with their education through part-time employment. The main focus of the FWS Program is to help students finance their education through an earn-as-you go program while providing an educational work experience. The primary benefit is the earnings from the FWS Program do not have to be applied towards the calculation for determining financial aid eligibility the next time a student applies for aid.

Who is eligible for Federal Work-Study and how will they know if they qualify?

FWS is awarded to students who have completed the Free Application for Federal Student Aid (FAFSA) and meet financial need requirements. If the student is awarded FWS, the award amount appears on the student’s financial aid award letter.

Are all jobs on campus Federal Work-Study positions?

No, but all jobs on campus are open to Work-Study eligible students. Students who do not have Work-Study may apply for any jobs listed on the Student Employment Job Board unless they indicate they are work study only.

If I work a Federal Work-Study position, will my school account be credited?

All students who work on campus, including Work-Study eligible students, receive pay for the hours worked. If you wish to apply your earnings to your account, you may make a payment at the Business Window.

Is the student employment process for students with Federal Work-Study the same as it is for students without?

Both students with and without a FWS award are allowed to work on-campus. Both follow the same employment process to apply for and secure a position and to complete the required paperwork to be employed. They are paid the same rates for the same position and are required to follow the same employment rules.

Student Employee FAQ

What documents do I need to complete the hiring process?

Upon hire, you will receive several task emails from Workday which will include the onboarding inbox tasks. All students must bring original identification and employment eligibility document(s). By law, UF may not accept a scan, copy, picture, fax, or any other reproduction of these documents.

When may I start the job I have been offered?

Your hire date will typically be five days from when your supervisor offers and you accept the position. During that time, you will be expected to complete all the required onboarding documents and present your required identification. Your supervisor may begin to schedule you to work any time on or after your hire date. Please note, your hire date may not be the same as your start date. Your start date is the first day your supervisor schedules you to work. Failure to complete hiring forms or to present original identification on time will result in separation of employment.

How many hours can I work as a student employee?

Domestic Student Employees can work up to 29 hours a week. International Student Employees are capped at 20 hours during the academic year per their Visa Guidelines. During the summer, International Student Employees can work up to 38 hours per week.

Are Student Employees eligible for Workers’ Compensation?

Yes, students employed by the university to work in a student employment role, are eligible for Workers’ Compensation if they are injured in the course and scope of employment.

How do I file my taxes?

Instructions for filing federal taxes can be found at https://www.usa.gov/file-taxes.

Instructions for filing state taxes in Ohio can be found at https://www.tax.ohio.gov/.

If you are an out-of-state student, you may also need to file taxes in your state of residence. To do this, please refer to your state’s tax website.

How do I get my W-2?

At this time W-2’s are mailed in January to the permanent home address we have on file. We also have copies available in the Office of Human Resources. Photo ID must be presented to obtain a copy.

How do I receive my W-2 if I’ve graduated and no longer work at UF?

Your W-2 will be automatically mailed to the mailing address on record in Workday. If this address is incorrect, please contact the Registrar’s Office and Human Resources.

How do I enroll in direct deposit?

Upon hire, you will receive an email from Workday regarding the set up of your payment elections.

I am having an issue with my direct deposit. Who do I contact?

Please contact the Office of Human Resources.

How long may I continue student employment after graduation?

Employment as a student will end at the end of the semester in which you have graduated if you are not enrolled in the following semester.

How do I access my I-94?

You may print your I-94 off the Department of Homeland Security’s website.

How do I get a Social Security card?

Please refer to this information from UF’s Office of International Admissions.

How soon should I start applying for a Social Security number?

You should start the application process immediately after obtaining a job.

What about my taxes?

Nonresident aliens in the United States are required to file taxes. You may learn more through the Office of International Admissions.

National Student Employment Week

Each year colleges and universities across the country recognize the importance of the student work experience during National Student Employment Week.

Of course, a primary motivation for most students is the need to help pay for their education. Many students are able to earn a significant portion of their college expenses, thus avoiding the debt burden so common with college graduates today.

At the University of Findlay, student employees perform invaluable services with enthusiasm, dedication, and initiative. Indeed, our departments depend on the contributions of this reliable workforce for the efficient operation of the entire campus.

By celebrating this week, we hope to increase employer awareness of the services that student employees provide; increasing employer base and positions available for students, and providing open recognition for their outstanding work.

Friday, April 10: Symposium — Student Employee of the Year Announced! 8:30 a.m. in the WTS Auditorium.

Looking for ideas to celebrate your student employees? Check out these ideas!

  • Decorate office doors or bulletin boards with posters expressing appreciation to your student workers and listing all their names.
  • Take your student employees out to lunch or have a pizza party.
  • Bring in a dessert for your student employees.
  • Have balloons or flowers at the student worker’s desk one day.
  • Create a large thank you card and have your staff sign it.
  • Pat on the Back – Draw an outline of your hand on a piece of paper. Photocopy enough copies for all students in your office. On each hand, write a note that tells the student why they deserve a Pat on the Back.
  • Treat Day – organize a potluck! Have the full-time staff bring in treats/lunch for student workers.
  • Take pictures – post employee pictures and list what wonderful things they do for your department. Place on your staff bulletin board if you have one.
  • Put together an exam survival kit. You can include granola bars, cookies, fruit snacks and more.
